Tags and notes turn raw chats into structured customer data. Tags drive segments and automation; notes capture the human context.

Before you start

Step-by-step

  1. 1

    Add a tag

    Click the tag icon in the right-hand contact panel, type to search or create a new one, and press Enter.

    Use tag conventions

    Pick a small, consistent set: Lead Stage (new, qualified, won), Source (instagram, referral, ad), Issue Type. Stick to one convention per workspace.

    Add an internal note

    Switch to the Note tab in the message box and type. Notes are saved to the conversation timeline and visible only to your team.

  4. 4

    Mention a teammate in a note

    Type @ to ping someone — they get a real-time notification.

What happens next

Tags become available in Contacts for segmentation and in Automation as triggers and conditions.

Common issues

I created duplicate tags ('vip' and 'VIP').

Tags are case-insensitive on creation but display the case used first. Edit under Settings → Tags to merge.
